Wasting prevention survey privacy policy

Introduction

We take your privacy seriously and are committed to protecting your personal information. We aim to be clear and open about our data and security practices.

Where we ask you to provide us with any information by which you can be identified, it will only be used in accordance with this privacy statement, and in line with the General Data Protection Regulation (GDPR) 2018.

What information do we collect?

When participating in the survey you will be asked to provide your first name, last name, organisation name and email address. We will also ask you to provide information about the country within which you are based and the type of organisation that you are affiliated with. This information will be collected via an online survey using ‘Survey Monkey’.

How do we use personal information?

Your name, organisation and contact information will be used to identify you as a group author in any publication resulting from the survey should you wish to be included (you will be asked to opt in or out of this at the end of the survey). We may also use this information to contact you to share the results of the survey and notify you of any resulting publications. General information about the country that you are located in and the type of organisation that you are affiliated to will be used to describe the characteristics of survey participants (although no specific names or organisations will be used against specific survey responses in the write up of results). 

What legal basis do we have for processing your personal data?

We will process your personal data on the basis of the consent to participate that you provide at the beginning of the survey. By marking ‘yes’ you are agreeing to us processing the data that you provide. You can withdraw this consent at any time by emailing our office.

When do we share personal data?

We will treat your personal data confidentially. We will not share your contact details (name, organisation and email address) to other ENN projects or any third party. We will share your name and organisation on a group author list in any published papers resulting from this survey if you opt into this (by responding ‘yes’ to the question about being included on a group author list at the end of the survey). All other information that you provide will be analysed and used in the write up of the survey results which will be made publicly available, but this information will not be shared alongside details that can identify you (name, organisation and email address).

Where do we store and process personal data?

We use the ‘survey monkey’ website to manage the survey and so the information you provide is initially stored there. To analyse the data it will then be transferred to our internal files which are hosted on a secure server within the European Union.

How long do we keep your personal data for?

We keep your information for no longer than is necessary for the purposes it was collected for. The length of time we retain your personal information is determined by operational and legal considerations. We review our retention periods on a regular basis.

Access to your information

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, you can:

We will not charge you for this service unless the request is ‘manifestly unfounded or excessive or repetitive’.

Your rights

Data protection regulations give you clear rights over how your data is used by us. You can find out more detail about your rights by visiting the Information Commissioner’s Office website’s section on individual rights.
